WE Data Tools 4.5 Release Updates

Anonymous Job Alerts Newsletter

  • Region Picker: Subscribers to Job Alerts newsletters can now select their preferred region for job alerts using the new region picker, ensuring they receive notifications relevant to their area of interest:
  • Manage Preferences: The Job Alerts newsletter now includes a convenient option for users to update their preferences. This feature allows existing subscribers to modify their regional preferences and also gives non-subscribed users (who may have received a forwarded email) the ability to subscribe directly:

Job Board and Job Map

  • Refinements to Keyword Search: The results returned from keyword searches are now more focused and relevant. Keyword searches like “administrative assistant” will now return fewer results. This change won’t have a noticeable impact on the first few pages of search results, but the previous matching algorithm was overly broad and would produce a “long tail” of poor quality matches at the bottom of the search results.
  • Filter Improvement: TEER categories now feature descriptions, allowing jobseekers to filter opportunities based on education level, making it easier to find jobs that align with their qualifications.

Job Board Administration

Improved Handling of Out of Region Employers

Several changes are being made to the way “out of region” employers are handled. An out of region employer is one whose address and geo coordinates fall outside of your configured service area, though they have recruited in your region at some point. In some cases, the address for these Company records may need updating to a local branch or subsidiary office and re-geocoded to fit within your service area. In others it may simply be an out-of-region employer that recruits locally.

Employers with geo coordinates that are outside of your service region will now display the message “Out of Region. The location of this record indicates this employer is outside of the configured region.” on the Edit Employer Record screen.

The job postings for an out of region Employer are handled as follows:

  • For the general public, jobs from these employers will not appear on your Jobs Map.
  • For logged-in Job Board Administrators, these employers will appear on your Jobs Map.
    • Note: The best way to see how the tools look for the general public is to view them in a Private or Incognito browser window.
  • On the Labour Market Insights report, jobs postings from Employers that are both out-of-region and have the Job Tag Remote Work will no longer be counted in the data.
  • In the Job Board Admin > Employers screen, a new “Out of Region” Filter option has been made available.

New Employer Fields Added

  • Meta Data Fields: New employer meta data fields have been introduced, including CEO Name, Founded Year, Revenue, and Employees Description, providing more comprehensive employer profiles. If this information is available, it will be displayed in the Company Profile.

Job Seeker Portal

Resume Builder Updates

  • Optional Fields: The Employer field in the Experience section and the Organization field in the Volunteer section are now optional, offering more flexibility when creating resumes.
  • 🪲 Icons on Templates: Icons are now supported across all resume templates.

Portal Administration

Portal Alert Enhancements

  • Dismissible Alerts: Administrators can now enable a dismissible option for alerts, allowing users to close notifications via a built-in close button, enhancing user experience and control.
  • Targeted Messaging: Administrators can now tailor alerts to specific user groups, such as jobseekers, employers, and job board administrators, ensuring relevant information reaches the right audience.

Service Provider Portal

Cross-Publishing of Internally Created Job Posts

When Service Providers post a job, they can also choose to cross post it in an overlapping workforce planning board website simultaneously:

Intake Workflow Improvements

  • Client Lookup: The intake process now displays all existing clients during both portal and CaMS searches, regardless of user access permissions. If a staff member does not have access to a client, they will still be able to see that the client exists within the system. A “Request Client Transfer” button is available, guiding staff to follow their SSM’s process for accessing the client.
  • Multiple Portal Accounts with CaMS Links: Service providers can no longer link a portal account to CaMS if the same CaMS Client Reference Number is already associated with another portal account, preventing duplicate links and ensuring data consistency. If a staff member attempts to establish a CaMS link already tied to another portal account, they will either be directed to the client profile if they have the necessary permissions, or they will see a “Request Client Transfer” button, which guides them to contact their SSM.
  • Reasons for Referral Field: The Reasons for Referral field has been expanded to make it easier to input and review information.
  • Service Provider Field: Users with Service Provider Group permissions will now see service providers listed alphabetically, streamlining the selection process.

Job Posts

  • Job Tag Fields: The following job tag fields, previously accessible only to users with the Job Board Administrator role, are now available to all users with permission to manage jobs:
    • Skills
    • 2021 NOC
    • Job Tags
    • Language Tags

NEW! Remove Portal Staff Accounts

The manual process for removing WDT Portal staff accounts when staff members leave is no longer necessary. Users with staff management permissions can now remove staff accounts directly from the staff member’s profile page.

A confirmation prompt will appear to verify the action before completing the account removal.

Other Minor Updates

  • Client Intake & Client Outcomes Report: The default start date is now set to April 1st, aligning with the beginning of the fiscal year for many service providers.
