WE Data Tools 4.12 Release Updates

This release strengthens service provider workflows with faster data access, clearer client search & task ownership, improved visibility into Social Assistance programs, and an optional Case Notes API for system integrations. It also includes small improvements for job board administrators and job seekers.

Job Board Administrators

Companies Export – 2025 Postings Column Added

The Companies CSV export (available in the backend under WE Data Tools → Company Tools) now includes a 2025 job postings count column, ensuring the export remains current for annual reporting and analysis.

Fix: Career Library – Blog & Video Visibility Restored

Blogs and videos tagged with NOC 2021 five-digit codes will once again surface within the relevant Career Library occupations, restoring previously available functionality and improving discoverability of related career content.

Job Board Administrators can use standard WordPress tags to add any five-digit NOC code to a related post.
The post will appear in the Related Blog Posts section under the corresponding occupation in the Career Library.

Employment Service Providers

New Reporting Features and Enhancements

NEW! Data Extracts

Service Providers can now download always-current CaMS-based data extracts—including Performance-Based Funding, Employment Action Plans, Employment-Related Financial Supports, and a User CaMS Staff Report—directly from the Jobs Portal. These self-serve CSV downloads replace static emailed reports and provide faster access to up-to-date data for reporting, monitoring, and program oversight.

Client Outcomes Report Improvements

The Client Outcomes Report now includes new secondary view options—None (default) and Referral Source—making large reports easier to scan while enabling clearer tracking of referral-related outcomes. Data exports have also been enhanced to include all on-screen outcome metrics and target performance, ensuring exports are fully aligned and ready for deeper analysis and reporting.

Reports – Back Button Added

A back button has been added to all report pages, making it quicker and easier to return to the main Reports homepage.

People Search Improvements

  • Find Clients by EAP Number:
    The People search now supports searching by EAP number, making it faster and easier for staff to locate clients using a commonly referenced identifier. The EAP number is now shown by default on the People screen and can be toggled on or off using the Customize Columns menu.
  • Improved Type-Ahead Suggestions:
    Selecting a suggestion now takes staff directly to the person’s profile, without an extra step. Suggestions also respect the active user type filter, making search results more predictable and reducing empty or confusing results.

Invite Client – Improved Search

The Portal Look-up step in the Invite Client workflow now supports more flexible name searches—including first name–only, partial matches, and common spacing or punctuation variations—making it easier to find existing portal accounts and avoid duplicates. The workflow has also been refined so the Continue button appears only after a search is completed, reducing mis-clicks and improving clarity during intake.

Tasks – Clearer Ownership & Default Views

Task lists now default to showing only tasks assigned to the current staff member, helping staff focus on the most relevant tasks and making ownership clearer after reassignment. Task filters are also remembered, so preferred views persist.

Client Profile Improvements

  • Editable Date of Birth:
    Caseworkers can now view and edit a client’s Date of Birth directly in the Client Profile when the client is not linked to CaMS, using the same date picker experience as the intake form.
  • Social Assistance Program:
    The Social Assistance program a client is receiving (e.g., Ontario Works or ODSP) will now be available in the Client Overview, improving visibility for staff supporting clients who are receiving social assistance.

Ontario MLITSD News Feed Added

Another Ministry RSS feed has been added to the News section of the staff dashboard, featuring news releases from Ontario’s MLITSD.

Fixes

  • Case Notes “No Results” Messaging:
    The Case Notes screen now displays a clear inline message when filters or search criteria return no results.
  • Target Occupations Links Restored on People Screen
    NOC links in the Target Occupations column now correctly open the filtered list of matching job posts, restoring the expected behaviour.

NEW! Case Notes API

A new read-only Case Note API is now available, allowing authorized systems to retrieve WE Data Tools case notes by CaMS Client ID using secure, API key–based authentication with IP allow-listing and role-based scopes for SSMs and Service Providers.
