Reporting of Fraudulent Job Posts

  • Anyone can report job postings, including portal users and public website visitors
  • Job Board Administrators receive and review reporting job postings

The Report Job Post feature allows individuals using your job board to flag postings that may be fraudulent, misleading, or inappropriate. These reports are routed to your team for review and action.

This feature supports compliance with Ontario’s Employment Standards Act (ESA) requirements for publicly advertised job postings.

Where Reports Come From

A Report Job Post button is available to individuals on the:

  • Job Board
  • Job Map
  • My Job Feed

When someone submits a report, the system emails the report details to all Job Board Administrator users provisioned on your website.

How Reports Are Routed

When a job is reported:

  • An email notification is sent to all users on your website with the Job Board Administrator role.
  • If no Job Board Administrator users are provisioned on your website, the report is sent to wedatatools@workforcewindsoressex.com.

To ensure reports are routed to the right people, Administrators should review Job Board Administrator assignments regularly. If you do not have administrator access or need support adding a Job Board Administrator, contact wedatatools@workforcewindsoressex.com for assistance.

What Information Is Included in a Report

Each report includes:

  • The job posting title and employer
  • The reason selected by the individual reporting the posting
  • Any additional comments submitted through the reporting form

This information helps Job Board Administrators review the concern and decide what action to take.

Reviewing and Addressing Reports

Users with the Job Board Administrator role are responsible for reviewing reported postings and determining the appropriate response. Depending on the situation, this may include:

  • Removing the job posting
  • Blocking the employer
  • Taking another action based on the details of the report

Reports do not trigger any automatic changes to the posting or employer record. Review and follow-up must be handled manually by a Job Board Administrator.

Fraudulent Job Posting Policy

A Fraudulent Job Posting Policy is available to individuals directly from the reporting form.

This policy outlines:

  • What may constitute a fraudulent or misleading job posting (e.g., misrepresentation, scams, or requests for financial/personal information)
  • How reports are handled within WE Data Tools powered job boards
  • The roles and responsibilities of your organization as the job board operator

As outlined in the policy, your organization is responsible for:

  • Monitoring job postings within your WE Data Tools instance
  • Reviewing submitted reports
  • Investigating and determining appropriate action
  • Removing or disabling postings that are fraudulent or non-compliant
  • Ensuring compliance with applicable legislation, including the Employment Standards Act (Ontario)

WE Data Tools provides the reporting functionality but does not review or adjudicate individual reports unless they involve platform-level issues or misuse.

Your team can reference this policy when reviewing reported jobs to support consistent and informed decision-making.

Recommended Next Steps

To ensure reported jobs are addressed appropriately:

  • Confirm that the correct users on your website are assigned the Job Board Administrator role
  • Review your internal process for monitoring and responding to report emails
  • Make sure your team understands how reported postings should be assessed and handled

Why This Matters

This feature helps your organization:

  • Maintain the quality and credibility of job postings on your website
  • Protect job seekers from misleading or fraudulent opportunities
  • Support compliance with ESA requirements for publicly advertised job postings
