Service Delivery Snapshot Report

The Service Delivery Snapshot provides a real-time view of active, non-archived clients across each stage of service delivery. Clients are grouped into time intervals based on how long they have spent progressing between key service events.

The report groups clients across four service delivery phases:

  • Common Assessment (CA) Creation
  • Employment Action Plan (EAP) Creation
  • Pre-Outcome
  • Outcome

Clients are grouped into defined time intervals within each phase to make it easier to identify patterns, compare groups and identify clients who may require further review.

Select a Reporting Period

Use the options at the top of the report to choose the period you want to review.

Fiscal Year

Select the fiscal year you want to report on.

Date Range

Choose how much of the selected fiscal year to include:

  • Fiscal Year to Date: Displays activity from the beginning of the selected fiscal year to the current date.
  • Last Fiscal Period: Displays activity from the previous fiscal reporting period.
  • Custom Date Range: Select a specific period within the fiscal year.

After changing the fiscal year or date range, select Apply to update the report.

Report Options

Select Report Options above the table to customize how the report is organized and filtered. The options open in a panel on the right side of the screen.

Pivot Table

The Primary View determines the main way clients are grouped within the report.

The Secondary View adds another level of detail beneath the primary grouping. Select None if a secondary breakdown is not needed.

Available views include:

  • Client Stream
  • Region
  • Service Providers
  • Target Population
  • Team Members
  • Referral Source

For example, selecting Service Providers as the Primary View and Client Stream as the Secondary View displays each service provider with its client streams listed beneath it.

Options that duplicate the selected Primary View are unavailable as a Secondary View.

Filters

Use the available filters to narrow the report to the clients you want to review.

For example, the Service Providers filter can be used to include all service providers or focus the report on a specific provider.

Select Collapse All to collapse the sections within Report Options, or use the arrow beside an individual section to expand or collapse it.

How Clients Are Included in the Report

Only active, non-archived clients are included.

A client appears in a service delivery phase when one or more of that phase’s key service dates fall within the selected reporting period:

Referral date or Common Assessment submission date.

Common Assessment submission date or EAP start date.

Pre-Outcome

EAP start date or Outcome start date.

Outcome

Outcome start date or Outcome end date

A single client may appear in more than one phase if their service journey spans multiple phases during the selected reporting period.

Clients with missing timestamps or incomplete service steps are excluded from the applicable phase when there is not enough information to calculate the time interval.

How Time in Each Phase Is Calculated

Within each phase, clients are placed into an interval based on the amount of time between key service events.

CA Creation

Measures the time from assignment to a caseworker to completion of the Common Assessment.

Clients are grouped into:

  • Less than 7 days
  • 7–13 days
  • 14+ days

EAP Creation

Measures the time from Common Assessment completion to creation of the Employment Action Plan (EAP).

Clients are grouped into:

  • Less than 7 days
  • 7–13 days
  • 14+ days

Pre-Outcome

Measures the time from EAP creation to employment being obtained.

Clients are grouped into:

  • Less than 15 days
  • 15–30 days
  • 31–60 days
  • 61–90 days
  • 91–120 days
  • 121–150 days
  • 151–180 days
  • 181+ days

Outcome

Measures the time from employment start to the current date, up to 12 months.

Clients are grouped into:

  • Less than 1 month
  • 1–3 months
  • 4–6 months
  • 7–12 months

Understanding the Report Table

The table provides a snapshot of the clients represented within the selected reporting period.

Total Clients

The Total Clients column shows the total number of clients represented within each row.

When a Secondary View is selected, additional rows appear beneath each Primary View group to provide a more detailed breakdown.

Clients by Phase

The remaining columns show the number of clients within each service delivery phase and time interval.

Each phase is represented by a different colour, making it easier to scan the table and identify where clients are within their service journey.

Phase counts should not be added together to calculate the total number of clients. A single client can appear in multiple phases during the selected reporting period.

Interpreting the Data

The Service Delivery Snapshot can help identify patterns in how clients are progressing through service delivery.

When reviewing the report, consider:

  • Time spent progressing through service: Higher counts in later intervals indicate clients who have taken longer to progress between key service events. These groups may warrant further review.
  • Differences between groups: Change the Primary and Secondary Views to compare service providers, client streams, regions, target populations, team members or referral sources.
  • Caseload size: Consider the total number of clients represented when comparing groups. A group with a larger caseload may naturally have higher client counts within individual intervals.
  • Multiple service phases: Clients can appear in more than one phase during the selected period, so the phase totals are not mutually exclusive.
  • Excluded records: Clients may not appear within a phase if the timestamps required to calculate their progress are missing or the applicable service step has not been completed.

The report can help identify areas that may require further investigation, but a longer period within a phase does not necessarily indicate a service delivery issue on its own. Client circumstances, caseload composition and other service factors should also be considered when interpreting the results.

Share or Export the Report

Use the actions beside the report title to share or export the report.

  • Share: Share a direct link to the report with other authorized staff.
  • Export: Download the report data for additional analysis or reporting.

Staff must have the appropriate Reports permission to access a shared report.
