Employer Profile: Contacts

The Contacts tab provides a central place to review the people associated with an employer. Use it to search contacts, add new contacts, update contact information, assign a primary contact, and manage contact visibility and status.

View and find employer contacts

Open the employer profile and select the Contacts tab. Use the controls above the table to find contacts and manage the list:

  • Search contacts by name: Enter a first or last name to narrow the list.
  • Include Archived: Turn on this option to display archived contacts with active contacts.
  • Add Contact: Select this button to add a new contact to the employer profile.

ColumnDescription
BookmarkSelect the bookmark icon beside a contact’s name to save that person as your preferred contact. Your preferred contact is visible only to you.
NameThe contact’s first and last name. The contact’s title appears below the name when one has been entered.
TypeIdentifies the contact as Primary or Alternate.
Contact InfoThe contact’s email address, phone number, and extension, when available.
LocationThe employer location associated with the contact, including the location name and address.
StatusShows whether the contact is Active, Inactive or Archived.
Active PeriodShows the date the contact became associated with the employer and, when applicable, the date the association ended. Active contacts display Present.
Options menuUse the three-dot menu at the end of a row to edit, archive, or unarchive the contact.

Choose a preferred contact

Bookmark a contact when you want that person to appear as your preferred contact for the employer. Preferred contacts are specific to each staff user and do not change the employer’s Primary contact for anyone else.

  1. Open the employer profile and select the Contacts tab.
  2. Find the contact you want to bookmark.
  3. Select the bookmark icon to the left of the contact name.
  4. Confirm that the bookmark icon appears filled. The bookmarked contact will appear in the Employer Profile header and Employer Directory if the Contact options are enabled in the Customize Columns menu.

Only you can see the preferred contact you selected. Other staff will continue to see the employer’s Primary contact unless they bookmark their own preferred contact.

Unbookmark a contact

Select the filled bookmark icon to the left of the contact name. When the icon is no longer filled, the contact is no longer saved as your preferred contact. The employer’s Primary contact will be shown instead, if one has been assigned.

Add a contact

Add a contact when a staff member needs to record a person associated with the employer, including their role, contact details, location, and visibility.

Fields marked with an asterisk (*) are required. All other fields are optional.

  1. Open the employer profile and select the Contacts tab.
  2. Select +Add Contact.
  3. Enter the contact’s First Name and Last Name.
  4. Enter the contact’s Title, if applicable.
  5. Select the contact Type. Choose Primary for the employer’s main contact or Alternate for any additional contact. Only one contact can be designated as Primary.
  6. Select the employer Location associated with the contact, if applicable. To create a location without leaving the form, select +Add Location.
  7. Confirm the From Date. This field defaults to the current date. If you know when the contact became associated with the employer, enter that date. Otherwise, leave the default date unchanged. Leave To Date blank while the contact is active.
  8. Enter the required Phone Number. Add an extension and Email Address, if available.
  9. Add relevant Comments, such as the contact’s preferred communication method or availability, if needed.
  10. Select a Visibility option to control which service provider staff can view the contact.
  11. Select Save Contact. To save the contact and immediately add another one, select Save & Add Another.

Choose who can view a contact

The Visibility setting determines which service provider staff can access the contact information. Choose the option that reflects how broadly the contact should be shared:

  • My Service Provider: Use for contacts your organization actively works with. The contact is available to staff within your service provider organization.
  • All Service Providers: Use for well-established employer contacts that may benefit the wider service provider network.

Edit a contact

Update a contact when their role, contact information, assigned location, active dates, comments, type, or visibility changes.

  1. Open the employer profile and select the Contacts tab.
  2. Open the three-dot options menu for the contact and select Edit.
  3. Update the applicable information.
  4. Select Save Contact.

Archive a contact

Archive a contact when they are no longer active with the employer but their information should remain available for historical reference.

  1. Open the employer profile and select the Contacts tab.
  2. Open the three-dot options menu for the contact and select Archive.
  3. Select Archive in the confirmation dialogue.
  • Important: Archiving a contact does not delete it. Archived contacts are hidden from the default view but can be displayed by turning on Include Archived.

View or restore archived contacts

Use Include Archived when you need to review or reactivate a contact that was previously archived.

  1. Open the employer profile and select the Contacts tab.
  2. Turn on Include Archived.
  3. Find the archived contact.
  4. Open the contact’s three-dot options menu and select Unarchive.
  5. Select Unarchive in the confirmation dialogue.

After the contact is restored, it appears in the active contacts list again.
