WE Data Tools 5.0 is our largest release to date. It introduces a new Employer Relationship Management (ERM) system, along with a new data extract for employment service providers, resume recognition, workflow improvements, and several other updates and fixes.

Employment Service Providers
NEW! Employer Relationship Management (ERM)
Release 5.0 introduces a new Employer Relationship Management (ERM) system that gives employment service teams a centralized place to manage employer information, track engagement, and connect employer activity with client service.
With ERM, staff can:
- Maintain employer profiles, contacts, locations, and engagement history
- Record notes and tasks connected to employers, employer contacts, and clients
- View relevant notes from both employer and client records
- Link CaMS Service Plan Cases to employer profiles for visibility into active and past placements
- Use employer flags to identify risks, suitability concerns, or communication restrictions
By bringing employer, client, and activity information together, ERM reduces duplicate record-keeping, improves visibility across teams, and supports more consistent employer outreach and follow-up.

NEW! Service Delivery Snapshot Report
A new Service Delivery Snapshot report provides a real-time view of active clients across each stage of service delivery, making it easier to identify where clients are progressing as expected.
The report groups clients by the amount of time spent in the following phases:
- Common Assessment
- Employment Action Plan
- Pre-Outcome
- Outcome
The report includes active, non-archived clients with the required service dates available.

NEW! Data Extract: Client Profile
A new Client Profile data extract provides a portal-first view of clients who have Jobs Portal accounts.
Unlike most data extracts, which use primarily from CaMS data and supplemented with portal information, this extract starts with portal clients and brings in selected CaMS details to provide additional context.
- Portal and client reference identifiers
- Postal code
- A direct link to the client’s portal profile, where available
- Assigned service provider and staff
- NOCs followed by the client in the Jobs Portal
- The client’s target NOC from their CaMS Employment Action Plan
- Employment outcome NOC information from CaMS

Uploaded Files Can Now Be Identified as Resumes
Newly uploaded files with the word “resume” in the file name will now be automatically recognized and marked as resumes. Staff can also manually mark an uploaded Word or PDF file as a resume from the Files tab.
Files identified as resumes are included in dashboard indicators and resume reporting, just like resumes created with the Resume Builder.
Changes to Job Posting Form for ESA Compliance
The job posting form has been updated to support Ontario’s requirements for publicly advertised job postings.
- Salary ranges: A compensation range can now be entered instead of a single wage. In most cases, the difference between the minimum and maximum cannot exceed the equivalent of $50,000 per year. This limit does not apply when the expected compensation exceeds $200,000 per year.
- Artificial intelligence disclosure: The form now requires confirmation of whether artificial intelligence is used to screen, assess, or select applicants.
- Current vacancy confirmation: Job postings must indicate whether they represent an existing vacancy.

Other Minor Updates
- Faster People page: Performance improvements make retrieving client records approximately 2–4x faster, helping staff find and navigate client information more quickly.
- Social Assistance Case Details: Social assistance information has been grouped into a dedicated section on the client profile’s Overview tab, which now also includes the SaMS ID.
- EAP Data Extract: Now includes a new column with the client’s postal code.
Fixes
- Client-Uploaded File Privacy Corrected: Staff can no longer mark files uploaded by clients as private, ensuring those files remain visible to the client. Staff can still upload their own files and mark them as private.
- Client Outcome Report:
- Non Employment Outcomes column heading was changed to Not in Labour Force to match CaMS data.
- Corrected Education Outcomes calculation logic.
Job Board Administrators
New Home for Employer and Job Board Information
Employer information is moving to a new Employers area in the main portal navigation. General details used on public profiles, such as the website and description, can be managed from the Overview tab.
A separate Job Board Admin tab will contain reporting labels, aliases, job import settings, tags, and job-map geocoordinates. This tab is limited to administrators, Job Board Administrators, and staff with the Job Postings permission.
The Company CEO, Founded Year, Revenue, and Employees Description fields have also been removed due to low usage and the difficulty of keeping them current.

Improved Language Tagging
Language requirements in job postings are now identified using more precise matching patterns. This reduces false matches and improves the accuracy of language filters, including French and other supported languages.
Blocking an Employer Now Removes Existing Job Postings
When an employer is blocked, all existing job postings from that employer are now moved to the trash, along with any future incoming postings. A confirmation message has also been added to help prevent accidental changes.
Report Job Post Improvements
The process for reporting and managing expired job postings has been simplified:
- Expired Job Posting is now available as a dedicated report reason.
- Job Board Administrators can filter reported jobs to quickly identify postings marked as expired.
- Job Board Administrators can manually expire a reported posting directly from the Job Board.
- The Other report reason and Additional Information field have been removed because they were not providing useful information for Job Board Administrators. Visitors can now select from a more focused set of report reasons, making reports easier to review and act on.
All Portal Users
NEW! Help Video: Log In and Password Reset
A new walkthrough video is available to help Jobs Portal users log in and reset their password. The video can be accessed from the Help menu, including before users log in.

Other Minor Updates
- Resume Builder Accessibility Improvements: Under-the-hood accessibility updates improve keyboard navigation, screen reader support, form labelling, and focus management throughout the Resume Builder, with no noticeable changes for sighted users.
- Cover Letter Generator Accessibility Improvements: Keyboard navigation, screen reader labels, focus behaviour, and button announcements have been improved.
- Training Page Accessibility Improvements: Under-the-hood accessibility updates make the Training page easier to navigate and understand for keyboard and screen reader users, with no noticeable changes to the experience for sighted users.
