The Report Job Post feature allows individuals using your job board to flag postings that may be fraudulent, misleading, or inappropriate. These reports are routed to your team for review and action.

This feature supports compliance with Ontario’s Employment Standards Act (ESA) requirements for publicly advertised job postings.

Where Reports Come From

A Report Job Post button is available to individuals on the:

  • Job Board
  • Job Map
  • My Job Feed

When someone submits a report, the system emails the report details to all Job Board Administrator users provisioned on your website.

How Reports Are Routed

When a job is reported:

  • An email notification is sent to all users on your website with the Job Board Administrator role.
  • If no Job Board Administrator users are provisioned on your website, the report is sent to wedatatools@workforcewindsoressex.com.

To ensure reports are routed to the right people, Administrators should review Job Board Administrator assignments regularly. If you do not have administrator access or need support adding a Job Board Administrator, contact wedatatools@workforcewindsoressex.com for assistance.

What Information Is Included in a Report

Each report includes:

  • The job posting title and employer
  • The reason selected by the individual reporting the posting
  • Any additional comments submitted through the reporting form

This information helps Job Board Administrators review the concern and decide what action to take.

Reviewing and Addressing Reports

Role of the Job Board Administrator

A Job Board Administrator (JBA) is the designated staff member (or team) responsible for reviewing reported job postings and taking action when needed.

When a report is submitted:

  • The reporting individual’s contact information is not collected
  • No response to the submitter is required
  • If no action is needed, the outcome can be documented internally (if applicable)

Reports do not trigger any automatic changes to the posting or employer record. Review and follow-up must be handled manually by a Job Board Administrator.

Standard Review Process

When a job is reported, Job Board Administrators should:

  1. Review the report email
    Check the selected reason and any comments provided
  2. Locate the job posting
    Review the full job details and associated employer record
  3. Assess the issue
    Determine the type of concern (e.g., fraud, offensive content, incorrect information)
  4. Take appropriate action
    Based on the guidance below

Suggested Actions by Report Type

Fraud / Scam / Suspicious Posting

  • Review job details (title, description, employer, contact info, application method)
  • Verify external links lead to a credible and relevant source
  • If the posting appears misleading, update the job title if appropriate
  • If fraudulent, suspicious, outside your service area, or against policy, block the employer to prevent repeat issues

Discriminatory or Offensive Content

  • Block the employer if the posting contains discriminatory language, hate content, or inappropriate material
  • Escalate internally if required by your organization’s policies

Broken or Incorrect Information

  • Correct classification issues (e.g., update NOC if applicable)
  • If an external job posting has expired:
    • Update the job status to Expired
    • Add an expiry date rather than leaving the posting active

Other Report Reasons

  • Some issues may relate to content on the employer’s original posting rather than your job board
  • If your job board content is accurate and compliant, no action may be required
  • Employers are responsible for providing required information (such as wages). Job board operators displaying aggregated postings rely on source sites for compliance.

Fraudulent Job Posting Policy

A Fraudulent Job Posting Policy is available to individuals directly from the reporting form.

This policy outlines:

  • What may constitute a fraudulent or misleading job posting (e.g., misrepresentation, scams, or requests for financial/personal information)
  • How reports are handled within WE Data Tools powered job boards
  • The roles and responsibilities of your organization as the job board operator

Your Organization’s Responsibilities

As a job board operator, your organization is responsible for:

  • Monitoring job postings within your WE Data Tools instance
  • Reviewing submitted reports
  • Investigating and determining appropriate action
  • Removing or disabling non-compliant postings
  • Ensuring compliance with applicable legislation, including the ESA
  • WE Data Tools provides the reporting functionality but does not review or adjudicate individual reports unless platform-level issues are involved.
